What we collect, why we collect it, how long we keep it and what you can ask us to do with it.

This policy explains how ShipIn Logistics handles personal data collected through shipinlogistics.com and in the course of providing sourcing, freight forwarding, customs clearance and delivery services.

We are the data fiduciary for the personal data described below. Our contact details are at the end of this page.

1. What we collect

Information you give us

  • Name, business name, mobile number and email address, when you submit an enquiry, message us on WhatsApp or call the office
  • Delivery address and GST registration number, where a shipment is arranged
  • Details of goods you wish to import — product descriptions, supplier links, quantities, volumes and target prices
  • Correspondence with us, including WhatsApp messages, emails and call notes

Information collected automatically

  • Standard technical data logged when you visit the site — IP address, browser type, device type, pages viewed and referring page
  • Analytics data, where analytics is enabled, used in aggregate to understand which pages are useful

What we do not collect

The landed cost calculator on this site runs entirely in your browser. The figures you enter are not transmitted to us or stored anywhere unless you choose to send them to us on WhatsApp.

2. Why we use it

  • To answer your enquiry and prepare a quotation
  • To arrange sourcing, inspection, freight, customs clearance and delivery
  • To meet legal obligations — customs documentation, tax records and statutory retention
  • To keep you updated on the status of a consignment
  • To improve the website and the information on it

We do not sell personal data, and we do not use it for advertising by third parties.

3. Legal basis and consent

Where we process personal data on the basis of consent, that consent is sought at the point you provide the data and may be withdrawn at any time by contacting us. Withdrawing consent does not affect processing already carried out, and it may mean we can no longer provide a service you have asked for.

Some processing is necessary for legitimate uses — for example, retaining customs and tax records for the period the law requires.

4. Who we share it with

We share only what is necessary to move and clear your consignment:

  • Shipping lines, airlines, consolidators and freight agents
  • Customs authorities and port, terminal and CFS operators
  • Our warehouse and inspection partners in China
  • Transporters for final-mile delivery
  • Banks and payment processors, where a remittance is involved
  • Professional advisers, auditors and regulators, where required

Providing a service that moves goods from China to India necessarily involves transferring limited personal data — typically a name, delivery address and contact number — outside India. We share the minimum required for the shipment to move.

5. How long we keep it

  • Enquiries that do not become shipments: retained for a reasonable period to follow up, then deleted
  • Shipment and customs records: retained for the period required under Indian customs, GST and company law
  • Correspondence: retained while a commercial relationship is active and for a reasonable period afterwards

6. Your rights

Under the Digital Personal Data Protection Act, 2023, you may:

  • Ask for a summary of the personal data we hold about you and how it is being processed
  • Ask us to correct data that is inaccurate, or complete data that is incomplete
  • Ask us to erase personal data that is no longer needed for the purpose it was collected for, subject to legal retention requirements
  • Withdraw consent previously given
  • Nominate another person to exercise these rights on your behalf in the event of death or incapacity
  • Raise a grievance with us, and escalate to the Data Protection Board of India if you are not satisfied with our response

7. Security

We apply reasonable technical and organisational safeguards to protect personal data against unauthorised access, disclosure, alteration and loss. No system is completely secure, and we cannot guarantee absolute security of data transmitted over the internet.

8. Cookies and analytics

This site uses no advertising or tracking cookies of its own. Where web analytics is enabled, it may set cookies to measure aggregate usage. You can block or delete cookies through your browser settings; the site works without them.

9. Children

This is a business-to-business service. We do not knowingly collect personal data of children. If you believe a child’s data has been provided to us, contact us and we will delete it.

10. Changes to this policy

We may update this policy. The current version is always at this address, with the last updated date at the top.
